Job Overview:
We are seeking a highly organized and detail-oriented Office Administrator to join our growing ABA therapy center. The Office Administrator will oversee the day-to-day operations of the office, ensure smooth administrative functioning, and provide support to our clinical and administrative teams. This role is vital in maintaining the efficiency and professionalism of our practice.
Key Responsibilities:
- Open and close the center daily, ensuring security and readiness for operations.
- Manage daily office operations, including scheduling appointments, maintaining office supplies, and overseeing reception duties.
- Act as the first point of contact for clients and families, ensuring a welcoming and professional experience.
- Coordinate and maintain staff schedules, including therapy appointments and meetings.
- Assist with billing processes, including client copayments, claims processing, and managing monthly copayment requests.
- Handle confidential client information in compliance with HIPAA regulations.
- Support the onboarding process for new staff, including orientation and paperwork coordination.
- Manage communication systems, such as answering phone calls, responding to emails, and handling inquiries.
- Ensure the office environment is clean, organized, and conducive to a professional and therapeutic setting.
- Collaborate with the clinical team to coordinate services and maintain accurate client records.
- Monitor and address equipment and facility maintenance needs, including managing relationships with vendors and service providers.
Qualifications:
- High school diploma or equivalent (Bachelor’s degree in Business Administration or a related field preferred).
- Minimum of 2 years of administrative or office management experience, preferably in a healthcare or therapy setting.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and familiarity with administrative software.
- Knowledge of ABA therapy and HIPAA compliance is a plus.
- Ability to maintain a high level of confidentiality and professionalism.
- Self-motivated with the ability to work independently and as part of a team.
