ESSENTIAL DUTIES AND RESPONSIBILITIES
As Office Administrator, you will play a crucial role in ensuring administrative functions are managed according to internal processes to ensure the smooth and efficient operation of our office. Your responsibilities will encompass both HR administration and office management duties. This is an in-office position. Opportunity for advancement.
Human Resources
• Manage multi-state employment poster distribution program.
• Administer learning management system.
• Setup client accounts in the E-Verify system.
• Monitor Work Opportunity Tax Credit (WOTC) program.
• Assist with issuing workers' comp certificates and creating provider maps.
• Utilize word processing and presentation software to create and edit documents.
Office Management
• Answer phone calls, address inquiries, and direct callers to appropriate personnel.
• Assist with password resets, employee portal access, and other elementary IT-related inquiries.
• Respond to emails and digital correspondence promptly and professionally.
• Receive and sign for incoming packages, and assist clients and visitors as needed.
• Coordinate meeting planning, including room setup and catering for events.
• Operate and maintain office equipment, including printers, copiers, and fax machines.
• Coordinate with outside vendors to ensure office equipment is in good working order.
• Manage incoming and outgoing mail, including postage.
• Coordinate with building management for building maintenance and disaster procedures.
• Order office and kitchen supplies, check stock, and manage inventory.
• Monitor all working area conditions and equipment to ensure they are within company standards for cleanliness, proper maintenance, and safety.
• Prepare and distribute employee birthday cards and anniversary cards.
QUALIFICATIONS
• Associate degree or combination of education and relevant experience.
• Proven experience in office administration preferred.
• Proficiency in Microsoft Office Suite and other relevant software.
• Excellent communication and interpersonal skills.
• Ability to handle sensitive information with discretion and maintain confidentiality.
• Strong organizational and time management skills.
• Attention to detail and accuracy.
• Ability to work effectively both independently and as part of a team.
