    Job Description

    We are looking for a talented and organized individual to join our unique culture of teamwork & collaboration! You will assist with a variety of tasks related to organization and communication, including managing our Boise, Idaho Office, supporting our internal team, and working alongside external vendors. You will have your hands in many buckets, jumping into different projects as needed, and keeping the office running smoothly.

    We are looking for someone who is extremely detail-oriented and a great multi-tasker. Communication skills, both written and verbal, are paramount. You will be the “go-to” person for any office needs and wear many hats while providing assistance across the organization.

    This position reports to the Manager of Administration. This is a in-office position located in Boise, ID. This will require you to work in the office 4 days a week.

    What you’ll do:

    • Front Desk Reception:
      • Welcome guests to Balsam Brands, presenting the first impression of the company to visitors
      • Process outgoing shipments
      • Receive and distribute mail, including scanning documents to various teams
      • Field inbound telephone calls
      • Conduct other administrative duties tied to front desk reception such as faxing, filing, word processing and control office music
    • Office Management:
      • General office organization, cleaning and tidying including management of the office, kitchen, and common spaces
      • Refill supplies and maintain inventory, anticipate team member needs for office supplies
      • Manage seating chart norms, and communicate with team members about updates and changes
      • Business card requests, Guest Cell phone management, scan and deposit checks, Last Pass Management
      • Work with various teleconference tools (Zoom and Microsoft Teams)
      • Oversee relationships with vendors and service providers such as, UPS, FedEx and others
      • Assistance with other projects as needed such as printing, packaging and shipping special projects
      • Communicate via email, Slack, or verbally with Boise office team or broader team as needed regarding office updates, events, or other announcements
      • Manage facility repairs in coordination with property management and other contractors · Relationship management for property management company and service providers including printers, alarm, and security systems
    • Team Member Experience:
      • Offsite Support – venue, catering, activities
      • Onboarding support, including desk assignment, equipment issues, and shipping. Offboarding support, equipment recovery, and desk reset
      • Onsite and Offsite Logistics Event Planning
      • Collaborating with Team Manila, Team Canada and Team Dublin for Global meetings

    What you bring to the table:

    • Minimum 2 years work experience
    • Customer Service or experience in an office environment perferred
    • Experience with MS Office Suite including Word, Excel, Outlook required, especially calendaring
    • Excellent communication skills, both written and verbal
    • Outstanding organizational skills
    • Resourcefulness and initiative
    • Friendly and professional demeaner
    • Ability to accept additional responsibilities and assist others as needed

    Notes: This is a temporary position, expected to last through September 4, 2025.

    The base pay rate for this position is $23-29 per hour.
