We are seeking an Office Ambassador who will be the face of our firm for all. This role focuses on greeting clients, handling payments, preparing retainers, organizing mail, managing office needs, and supporting operations, without the distraction of heavy phone call responsibilities. Responsibilities: • Welcome and assist in-person clients, ensuring they feel comfortable, supported, and prepared for their appointments. • Take payments from clients, issue receipts, and maintain accurate records. • Prepare retainer agreements for new potential clients, explain the terms clearly, and facilitate signing. • Organize, scan, and email incoming mail; prepare and send outgoing mail via USPS, courier, FedEx, or other services. • Monitor and maintain office supplies and place timely orders for necessary items (including marketing materials like printed flyers, business cards, signage, etc.). • Coordinate with vendors and service providers (building maintenance, printing companies, delivery services, etc.) to ensure smooth day-to-day operations. • Support the administrative team with other office management tasks as needed. Qualifications: • Fluent in both English and Spanish (spoken and written). • Professional, warm, and welcoming demeanor — you're often the first impression clients get. • Strong attention to detail, with the ability to prioritize and respond to what’s needed in the moment (rather than multitask for multitasking's sake). • Highly organized, reliable, and proactive — you enjoy keeping systems running and anticipating needs. • Tech-comfortable — able to learn and use office systems (Microsoft Office, Monday.com, Docketwise, or similar tools. Previous experience in a law firm, customer service, or an administrative role is preferred but not required. Compensation: $20 - $22 hourly
