Overview: A Passionate Helping Hand Home Health Care is seeking a reliable and organized Office Assistant to support the day-to-day administrative operations of our agency. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. As an Office Assistant, you will play a key role in ensuring the smooth and efficient operation of our home health care services.
Responsibilities:
Administrative Support:
Answer and direct phone calls, take messages, and assist callers with inquiries.
Greet visitors, clients, and staff in a professional and friendly manner.
Maintain organized filing systems for patient records, invoices, and other important documents.
Scheduling and Coordination:
Assist in scheduling appointments for staff, caregivers, and patients.
Coordinate meetings and prepare meeting materials as needed.
Ensure timely communication of schedule updates to all relevant parties.
Data Entry and Record Management:
Input and update patient and employee information in agency databases and systems.
Assist with tracking and maintaining compliance documentation for staff and patients.
Generate reports and compile data for management review as needed.
General Office Tasks:
Monitor and order office supplies to maintain inventory.
Prepare and distribute correspondence, memos, and forms.
Ensure the office environment is clean, organized, and welcoming.
Communication and Support:
Serve as a liaison between office staff, field staff, and management.
Provide support to clinical and administrative teams to ensure operational efficiency.
Assist with onboarding new employees, including preparing orientation materials.
Compliance and Confidentiality:
Adhere to HIPAA guidelines to protect patient information.
Ensure compliance with agency policies and procedures in all administrative tasks.
Qualifications:
High school diploma or equivalent; additional education or certifications in office administration are a plus.
Previous administrative or office support experience, preferably in a healthcare setting.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with EMR systems (experience with Axxess is a bonus).
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
