Our busy immigration law firm is looking for an efficient, organized administrative assistant to help our attorneys and paralegals assist clients and ensure we’re operating efficiently. You will support our team by handling administrative tasks such as scanning and filing applications, receiving and scanning mail, closing files, organizing files, and other administrative tasks. If you have experience in a similar role, work well under pressure, and are looking for a rewarding opportunity in the legal immigration industry, we want to connect with you. Responsibilities: • Adhere to office policies and procedures • Contribute to improvements in legal work, customer service, and firm profitability • Support team in the final stages of legal application work, which will include scanning, copying, organizing, and mailing legal applications • Collect, sort, and scan daily mail • Support team in all aspects relating to client file organization. • Maintain organization of client files • Maintain an organized and efficient office environment, including managing file systems and ensuring that common areas are tidy • May be responsible for opening the office in the morning and securing it at the end of the day • Complete other administrative tasks as needed to assist the team and ensure the firm runs smoothly Qualifications: • Proficient in basic computer software and can quickly learn to use new programs • Proven track record of completing projects on time in an orderly manner • Fluency in English and other non-English languages that serve the client populations (Spanish, Portuguese, Haitian Creole, Vietnamese, Mandarin) • Kind, understanding, and patient nature • Dependable, on-time, and able to work to meet deadlines • Applicants must have excellent organizational skills • Good computer literacy with Google and Microsoft Office • Associate degree or higher OR significant work experience in similar roles • Must be able to prioritize tasks with demanding deadlines and work in a fast-paced environment Compensation: $20 - $25 hourly
