Responsibilities: • Work to create marketing opportunities and plan events for our customer base in the community to improve company reputation and visibility • Strengthen existing abilities and gain new ones by participating in training opportunities • Generate status reports as requested so the team is informed with progress reports • Act as a point of contact for complaints or questions from customers and respond in a timely manner • Buy materials for the office when necessary The secretary is employed to carry on the clerical work of the school. • The Controller is responsible for delegation of this work to the secretary and for supervising this position • The secretary's job can be classified under two headings: (a) the work of the school office and (b) the responsibility of a secretary to the Controller and Director of Education • With direction from the Controller and Director of Education maintains and coordinates multiple calendars to include the school activities and events calendar • Work efficiently with a service-oriented attitude under stressful situations with constant interruption.= • Maintain cooperative working relationships with students, staff, parents, and community members contacted in the course of work all while representing the mission of The Victory Center General Management: • Direct and manage day-to-day office systems, including mail, fax, phone, email, photocopying, and program databases • Maintain Controller and Director of Education’s calendar for scheduled events, conferences, etc. • Schedule, attend, and take minutes at weekly team meetings with Administration Staff Communications: • Facilitate school-wide communication • Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions/agencies on a range of specified issues; ensuring appropriate responses and or actions are taken by the relevant person or persons • Prepare and send an email and written correspondence to parents, as necessary Staff/Parents Students: • Maintain and audit student files ensuring all necessary forms are up to date and compliant with the policies of TVC and local and state agencies • Maintain scheduling for IEP’s, Parent Training, Outreach Program Registration, School Tours, and Student Evaluations • Schedule Tours for prospective families, follow up and report outcomes to Controller and Director of Education Finance/Scholarship: • Assist in State compliance of registration for McKay & Gardiner Scholarships. • Maintain daily student attendance Events: • Assist Controller in the planning of fundraising events and registration of community events that represent and support the cause Qualifications: • History of being deadline-driven and extremely organized • High school diploma or GED required, some college experience preferred • Prior experience in office management or our industry is a plus • Shows great interpersonal skills and excellent written communication • Proficient in basic computer software and can quickly learn to use new programs • A minimum High School Diploma is required and two years of office administrative experience in the area of assignment; or an equivalent combination of education and experience is sufficient to successfully perform the essential duties of the job as listed above. Compensation: $18 hourly
