Job Summary: Alpha & Omega Computer Networking Services located in Huntington Beach (Surf City USA) is seeking a highly organized and detail-oriented Office Administrator & IT Procurement Coordinator to support both office operations and IT procurement. This hybrid role is ideal for a professional who can manage administrative tasks while overseeing the procurement of IT equipment, software, and services.

Key Responsibilities:
Office Administration:
Manage office operations, including scheduling meetings, coordinating events, and maintaining a well-organized workspace.
Handle incoming and outgoing correspondence, including mail, invoices, and financial documents.
Assist clients with inquiries, direct them to the appropriate teams, and ensure excellent customer service.
Maintain and update client records, internal databases, and office inventory.
Prepare reports, presentations, and documents to support various departments.
Ensure adherence to company policies, including confidentiality and data protection regulations.
Assist CEO, Accounting & Sales & Marketing Departments with administrative requests & needs.
IT Procurement:
Manage the end-to-end procurement process for IT equipment, software, and services.
Develop and maintain relationships with vendors and suppliers to secure optimal pricing and quality.
Negotiate contracts, ensuring compliance with company policies and legal requirements.
Monitor and maintain inventory of IT assets, conducting audits and tracking assets as needed.
Assist in reporting on procurement activities, expenditures, and cost savings.
Collaborate with the IT team to understand hardware and software needs and support project teams with procurement requirements.
Evaluate vendor performance and address issues related to delivery, pricing, or product quality.
Qualifications:
Technical background not required, but is a plus.
High school diploma required; associate or bachelor's degree preferred.
1-2 years of administrative experience, preferably in an IT or MSP environment.
Strong organizational, written, and verbal communication skills.
Experience with procurement processes, vendor negotiations, and inventory management is a plus.
Proficiency in Microsoft Office Suite. Adobe Acrobat and mail merge.
Familiar with quoting software and willing to learn company ‘s quoting process and software (QuoteWerks).
Service-oriented mindset with excellent problem-solving abilities.
