Overview We are seeking a proactive and detail-oriented Office Assistant to support daily operations and ensure the efficiency of our office environment. The ideal candidate will be bilingual in Chinese and English, possess strong organizational skills, and thrive in a fast-paced, collaborative setting.
Responsibilities
Administrative Support
Manage front desk duties, including answering phone calls, greeting visitors, and handling correspondence (emails, letters, packages).
Maintain office organization, monitor inventory of supplies, and ensure equipment is operational.
Schedule meetings, coordinate appointments, and prepare agendas, minutes, and presentation materials.
Document & Data Management
Create, format, and file documents (reports, spreadsheets, presentations) in both Chinese and English.
Maintain digital and physical filing systems for quick and accurate retrieval of information.
Perform data entry tasks with high attention to detail.
Cross-Department Coordination
Act as a liaison between departments (e.g., HR, Finance) to streamline communication and workflows.
Assist in organizing company events, trainings, and team-building activities.
Logistics & Financial Assistance
Arrange travel bookings, accommodations, and transportation for staff as needed.
Support basic financial tasks, such as processing invoices and expense reports.
Qualifications
College diploma or above in Administration, Business, or a related field.
1-2 years of experience in office administration or a similar role.
Bilingual proficiency: Fluent in both Chinese and English (written and spoken).
Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Calendar).
Excellent organizational and time-management skills, with the ability to prioritize tasks.
Strong interpersonal skills and a customer-service-oriented mindset.
