N8 Fire & Safety is seeking a proactive and detail-oriented Office Assistant to provide essential support to our team. This role involves a diverse range of administrative tasks, including customer communication, scheduling, data management, and supporting field technicians. The ideal candidate is organized, adaptable, and has a "team mom" mentality, fostering morale and ensuring the team has everything needed to succeed. This position will rely heavily on task management, team support, and accurate use of software like Service Trade. Responsibilities: • Administrative Support: Manage task lists, track timesheets, and update service tickets to ensure team productivity and workflow. • Customer Service: Answer calls, follow up with customers, schedule service appointments, and provide estimate reminders. • Data Management: Enter, organize, and maintain customer data and service call assignments, ensuring records are accurate and up-to-date in Zen. • Monitoring & Compliance: Register, submit, and review monitoring accounts, follow up on calls, and file non-compliance reports. • Field Tech Support: Coordinate with field technicians to verify updates, check permit statuses, and ensure compliance and accuracy in Zen. • Team Engagement: Plan and coordinate team birthdays and events, fostering morale and a positive work environment. • Onboarding & Documentation: Assist with new hire orientation, send and receive contracts, and compile and file essential paperwork. Qualifications: • Strong organizational skills with an eye for detail. • Experience in customer service or administrative support roles. • Proficiency in task management tools and software such as Service trade (or willingness to learn). • Excellent communication skills, both written and verbal. • Ability to manage multiple tasks and prioritize effectively in a dynamic work environment. • Familiarity with scheduling, mapping, or dispatch software. • Experience in a service-oriented or field technician support role. Compensation: $15 - $16 hourly
