We aim to protect healthcare professionals' income with personalized insurance plans and outstanding customer service. We are currently seeking an Office Assistant to join our team. The Office Assistant provides proactive, high-level support to PearsonRavitz executives, ensuring seamless daily operations. This role requires someone who takes ownership of their work, is extremely organized, proactive, and technologically savvy, and can anticipate needs before they arise. The ideal candidate embodies our core values and fosters collaborative and professional working relationships with all departments and team members. Compensation: • Salary Range: $55,000 - $65,000 • Benefits: Health, Vision, and Dental Insurance, Group Short- and Long-Term Disability Insurance, Life Insurance • 401(k) with match • Paid Time Off This is a full-time, in-office position based in Ardmore, PA. Applicants will need to be able to be in the office Monday- Friday. Responsibilities: Administrative Support • Manage office calendars by scheduling meetings, coordinating appointments, and ensuring smooth daily operations. • Maintain organized records, ensuring proper documentation of office correspondence, invoices, and reports. • Handle phone calls professionally, directing inquiries appropriately and troubleshooting minor phone system issues. • Draft and manage general correspondence, including emails, memos, and basic reports. • Assist in preparing meeting materials, taking notes, and tracking follow-ups to ensure accountability. • Support internal teams with administrative tasks, such as data entry and document preparation. Office Operations & Organization • Maintain office inventory by ordering supplies and ensuring the workspace is stocked with essential items. • Keep the office tidy and organized, ensuring a professional and functional environment. • Serve as the primary contact for office maintenance and vendor coordination. • Assist in planning and executing office-wide events, team meetings, and employee gatherings. General Support • Coordinate travel arrangements, including booking flights, accommodations, and transportation for team members as needed. • Support special projects and cross-functional initiatives to improve office efficiency. • Uphold confidentiality when handling sensitive business information. Qualifications: • Experience: Prior experience in an administrative or office support role, preferably in a fast-paced environment. • Proactive & Resourceful: Anticipates office needs, identifies solutions, and takes initiative to improve efficiency. • Ownership & Reliability: Takes responsibility for tasks, follows through to completion, and maintains a problem-solving mindset. • Highly Organized & Detail-Oriented: Manages multiple priorities effectively while keeping records and workflows structured. • Strong Communication & Professionalism: Communicates clearly and respectfully in both written and verbal interactions. • Tech-Savvy: Comfortable using office software, digital tools, and adapting to new systems. • Team Player: Works well with colleagues at all levels, fostering a positive and collaborative office environment. • Proficiency in Microsoft Office (Preferred): Familiarity with Excel, Word, and Outlook for organizing data and managing office tasks. • CRM Experience (Preferred): Knowledge of systems like Salesforce for tracking tasks and managing office-related records.
