    Job Summary

    The Office Assistant/Accounting Assistant is responsible for supporting basic accounting and administrative functions.

    Duties and Responsibilities:

    Greet and assist visitors that may arrive at the office

    Answer Phones (take detailed messages)

    Direct phone calls, disseminating correspondence

    Deal with initial customer issues potentially

    Maintain files and records with effective filing system (paper and electronic

    Keep track of company bills and post to accounts they are paid from

    Update vendor login information as needed in QuickBooks (for team access)

    Keep track of office supplies/office snacks, keep stocked and place orders as needed

    Purchase Orders tracking

    Receive inventory and enter into QuickBooks

    Track accounts payables – electronic payables and credit card payables

    Track expenses on credit cards and enter charges

    Support the team through various administrative tasks as assigned

    Support/Assist with marketing strategies and coordinate activity with outside marketing firm

    Keep Office Tidy and clean, various tasks done weekly or monthly

    Help plan company events

    Help keep track of company birthday’s and plan for them

    Accounts Receivables

    Assist with Sales Goals/Budget planning

    Assist with Vendor RMA’s (returns)

    Assist with Certificates of Insurance

    Assist with Payroll (updating employee timesheets)

    Assist with projects as needed

    Required Skills, Education, and Experience:

    High School Diploma or Associates Degree

    Demonstrated customer service skills

    Basic computer skills including MS Office, with the ability to adapt to new software or internet-based programs

    Strong verbal and written communication skills

    Ability to work in a team environment

    Clear attention to detail and ability to multi-task

    Adaptable to change and meets varied deadlines

    Strong work ethic and reliability

    Ability to maintain confidentiality

    Possesses a pleasant and professional demeanor

    Excel Spreadsheet knowledge a plus

    QuickBooks Experience a plus

    Knowledge of basic accounting principles is a plus

    Work Environment and Physical Requirements:

    Office Area/Shared Space/Lobby Area

    Ability to sit for extended periods of time

    Requires performance of repetitive tasks

    May occasionally lift objects over 25 pounds

    Requires adherence to a set schedule
