    Office Associate

    Reports to: Grant and Contract Specialist

    Salary (Grade): $17.82 (G12-E)

    Status: Reg., Full-time (Non-Exempt)

    Location: Blackhawk Center 205 N Bluff St. Winnebago NE 68071

    Job Purpose & Position Overview:

    Assist Grant and Contract Specialist with daily tasks for contracts and grants. Detail oriented work including creating/organizing files, filing, copying, data entry, etc.

    Specific Job Duties/Responsibilities:

    Demonstrates the Winnebago Tribe’s core mission, vision, and values.

    General clerical duties including answering the phone, filing, photocopying, scanning, answering emails, etc.

    Maintain office operations by receiving, sorting and distributing mail and other communications; picking-up and delivering intra- and inter department items.

    Must have basic knowledge of tribal organization and functions.

    Organizes, updates, and maintains various files of the department.

    Create Master Grant files in accordance with HUD filing format for labeling

    File documents in Master Grant files

    Become knowledgeable in signature, procurement and other various Tribal policies that impact the Contract and Grant office.

    Create DocuSign documents for signature

    Become knowledgeable in Intact and Martus software uses.

    Create/file contract files. Scan documents to applicable computer folders.

    Conduct data entry and update information in spreadsheets.

    Collaborate with Facilities on annual leases, including obtaining Docusign signatures and filing.

    Must maintain high level of confidentiality and must be knowledgeable of the Privacy Act, basic knowledge and interpretation of Tribal Policies and Procedures.

    Required Qualifications/Skills:

    Must have high school diploma.

    Must have good work habits.

    Must keep all matters pertaining to the program strictly confidential.

    Ability to relate to and understand people is required.

    Must be able to operate the Microsoft Office, Excel, Word,

    Familiarity with DocuSign and contracts a plus

    Must be detail oriented.

    Must have a valid driver’s license and be insurable under the tribe’s insurance.

    Training Requirements:

    Must be willing to attend meetings and trainings as requested.

    Physical Requirements:

    Normal to light office work which includes the ability to lift up to 10 lbs.

    Regularly required to walk, stand, and sit for extended periods of time and use hands to operate computer keyboard, phone, and various office equipment.

    While performing daily duties, the employee is regularly required to talk and listen.

    Mental Requirements:

    Reading, writing, calculating

    Above average social interaction skills

    Reasoning/Analysis

    Ability to work as part of a team and/or with minimal to no supervision.

    Detail oriented

    Language Requirements:

    Must possess the ability to read, write, and speak the English language fluently.

    Must be able to continually and effectively employ professional verbal and written communications skills.
