    Job Purpose

    Reporting to the Director of Executive Affairs and Operations/CEO, the Office Coordinator will support the office through general administrative tasks. The position follows workflow procedures to ensure maximum efficiency. The ideal candidate is a highly organized individual who can manage multiple projects at once in the absence of day-to-day guidance. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. This professional will be the point person for all administrative tasks, supply ordering.

    Duties and responsibilities

    • Travel between all Association offices as needed; occasionally without notice.
    • Welcome visitors and internal employees into the executive suite with a cheerful disposition
    • Maintain employee companied issued equipment with bi-annual audit, set up new employees with office equipment needed; also work with IT as needed to perform duties described
    • Monitor office expenditures within the day-to-day upkeep of the building and property
    • Handle all office and vendor contracts (rent, lawn service, HVAC company etc.)
    • Perform basic bookkeeping activities
    • Maintain office equipment (ex. ensure copiers are operational and fully stocked with toner, paper, etc.)
    • Monitor office supplies inventory and place orders
    • Support meeting and conferencing set-up and breakdown
    • Maintain a clean and organized office environment
    • Maintain a calendar of routine maintenance on the building and property ensuring the upkeep of the building including the grounds, parking lot, etc.
    • Point of contact for neighboring business that rents space from Greater Tampa Realtors
    • Oversee and manage all aspects of facility room rentals, including booking, scheduling, set up, maintenance and customer service
    • Other duties as assigned

    Qualifications

    • HS diploma, required
    • Candidate must maintain an active driver's license during employment
    • Associate’s degree; Bachelor’s degree preferred
    • Excellent verbal and written communication skills.
    • At least 2 years of experience managing an office.
    • Exemplary customer service and organizational skills required.
    • Forward thinker/planner; staying one step ahead
    • Ability to perform multiple different tasks within the workday and move from one task to another with little transition time in between; prioritize tasks
    • Experience with Microsoft Office Suite
    • Experience managing a budget

    Job Type: Full-time

    Pay: $19.23 - $26.44 per hour

    Expected hours: 40 per week
