  • Responsibilities

    Triumph Wealth Management is seeking a Part-Time Office Coordinator to join their office in Madison, Wisconsin. WestPoint Financial Group is assisting with the sourcing of this role.

    The ideal candidate will be detail-oriented, proactive, and a self-starter - someone who can easily identify areas where they can make an impact. The successful candidate must be organized, collaboration-minded, and considered highly communicative, exhibiting strong interpersonal skills.

    This position is responsible for front office operations, including reception, and operates in the office Monday through Thursday, 8:30 am - 3:00 pm, and Fridays, 8:30 am - 2:00 pm.

    Responsibilities:

    Reception

    • Greet and announce visitors in a friendly, welcoming manner
    • Answer incoming calls and direct to appropriate party
    • Manage advisor's calendar and schedule client meetings
    • Manage client events

    Office

    • Open and close the office at stated business hours
    • Sort and Distribute incoming mail including US mail, UPS, and FedEx
    • Sign for, receive, and distribute packages delivered
    • Maintain office machinery and supplies including postage meter, photocopier, and other office machines
    • Maintain office and schedule conference rooms as needed
    • Establish building access for new advisors, assistants and guests
    • Provide telephone and voicemail training to new personnel
    • Notify building management of maintenance requests
    • Assist with vendor management
    • Ensure day to day operations are prioritized according to client and advisor needs and deadlines
    • Responsibilities may be added at the manager’s discretion

    Position Requirements:

    • High school diploma or equivalent
    • Associate or Bachelor's degree, preferred
    • Proficient in Microsoft Office Suite
    • Excellent telephone skills
    • Strong interpersonal communication, organizational and multi-tasking skills
    • Diplomacy skills
    • Must be detail-oriented and proactive
    • 1+ years administrative experience
    • 1+ years insurance experience (preferred)
