Overview: A Passionate Helping Hand Home Health Care is seeking an experienced and highly organized Office Manager to oversee key administrative functions, including Orders Management, Prior Authorizations, Intake, and Scheduling. This role ensures that daily operations run smoothly and efficiently while maintaining compliance with home health care regulations. The ideal candidate is a proactive leader with exceptional multitasking abilities and a strong understanding of home health care processes.
Responsibilities
Process, track, and manage medical orders in the Axxess EMR system.
Ensure timely submission, follow-up, and retrieval of signed physician orders.
Maintain accurate records of all orders and ensure compliance with state and federal regulations.
Coordinate with insurance providers to secure prior authorizations for patient care services.
Monitor the status of authorizations and ensure approvals are received before service delivery.
Document and maintain accurate records of all authorizations and communications.
Oversee the patient intake process, including verifying eligibility, benefits, and service requirements.
Collect and review necessary documentation from patients, families, and referral sources.
Ensure all required information is entered accurately into the agency’s EMR system.
Create and manage schedules for field staff, including nurses, therapists, and aides.
Ensure schedules align with patient care plans and agency policies.
Communicate schedule changes promptly to staff and patients.
Supervise office staff and provide training and support as needed.
Maintain organized filing systems for patient records, authorizations, and other critical documents.
Monitor and maintain office supply inventory.
Ensure adherence to HIPAA and other regulatory requirements in all administrative processes.
Participate in quality assurance activities and identify opportunities for process improvement.
Collaborate with management to ensure operational excellence.
Qualifications
Associate or bachelor’s degree in business administration, healthcare management, or a related field (preferred).
Minimum of 2-3 years of experience in an administrative or management role, preferably in a home health care setting.
Proficiency in Electronic Medical Records (EMR) systems, with experience in Axxess EMR highly desirable.
Strong knowledge of home health care regulations, including HIPAA compliance.
Excellent organizational, communication, and leadership skills.
Ability to multitask and prioritize in a fast-paced environment.
Problem-solving skills and attention to detail.
