    Job Summary:

    As the Office Manager at Alvand Transportation, you will be responsible for overseeing the day-to-day administrative operations of our office and ensuring the smooth flow of office processes. You will work closely with our management team, drivers, and support staff to maintain records, handle office operations, and support overall operational efficiency. This is an ideal role for a highly organized, self-motivated individual with strong leadership and multitasking abilities.

    Key Responsibilities:

    Office Management:

    Oversee the daily administrative operations of the transportation office.

    Manage office supplies, equipment, and inventory, ensuring everything is well-maintained and stocked.

    Develop and implement office policies and procedures to enhance operational efficiency.

    Staff Coordination:

    Supervise office staff, providing guidance, training, and support as needed.

    Coordinate schedules and assignments to ensure smooth office workflow.

    Conduct regular performance evaluations and address any staffing issues promptly.

    Customer Service:

    Serve as the primary point of contact for customers, addressing inquiries, complaints, and feedback in a professional and timely manner.

    Implement strategies to enhance the customer experience and improve satisfaction.

    Record Keeping:

    Maintain accurate records of all office activities, including employee files, vehicle logs, and financial transactions.

    Ensure compliance with all regulatory and company record-keeping requirements.

    Prepare regular reports for senior management on office operations and performance metrics.

    Financial Management:

    Assist in the preparation and management of the office budget.

    Monitor expenses and implement cost-saving measures without compromising service quality.

    Handle invoicing, billing, and payroll processing.

    Compliance and Safety:

    Ensure compliance with all Department of Transportation (DOT) regulations and other applicable laws.

    Develop and enforce office safety policies and procedures to minimize risk and ensure a safe working environment.

    Conduct regular safety audits and training sessions for office staff.

    Communication:

    Maintain clear and effective communication with the transportation team, dispatchers, and senior management.

    Keep staff informed of any changes to policies, procedures, or schedules.

    Professional Development:

    Participate in ongoing training and professional development opportunities provided by Alvand Transportation.

    Stay updated on industry best practices and new regulations related to transportation office management.

    Requirements:

    Bachelor's degree in Business Administration, Office Management, or a related field.

    Minimum of 4 years’ experience in office management or a similar administrative role.

    Strong knowledge of DOT regulations and transportation industry standards.

    Excellent leadership, communication, and interpersonal skills.

    Ability to work flexible schedules, including weekends and holidays.

    Strong problem-solving and decision-making abilities.

    Proficiency in office management software and Microsoft Office Suite.

    Preferred Qualifications:

    Experience in a transportation or logistics company.

    Certification in office management or administration.

    Familiarity with transportation management software.
