Access Veterinary Care is seeking a highly organized and proactive Office Manager to join our team. This key role will be responsible for tracking financial goals, enhancing the client experience, improving administrative efficiencies, handling limited HR duties, and managing our social media presence. Job Responsibilities:
Administrative Management:
Oversee and optimize the clinic’s administrative operations
Develop and implement strategies to enhance the client experience and streamline clerical tasks
Assist with reception duties as needed and ensure the clinic’s daily schedule runs smoothly and on time
Help the Front Office Supervisor manage employee schedules, ensuring appropriate coverage
Handle escalated client concerns and ensure prompt resolution
Maintain and improve the clinic’s online registration system
Financial Oversight:
Track a variety of financial metrics to ensure clinic-wide revenue targets are met
Assist management with developing strategies to drive financial growth
Monitor and manage client accounts with outstanding balances, ensuring timely follow-up and resolution
Oversee the Community Fund and Merchandise Store to help increase community support
Human Resources:
Complete onboarding for new hires and assist with interviewing/hiring as needed
Work with team leads to ensure annual performance evaluations are completed and processed
Work with the Front Office Supervisor and Medical Support Staff Manager to ensure all team members receive appropriate training and development
Manage bi-weekly payroll and stay informed on labor laws to ensure compliance
Create a supportive work environment, encouraging staff development and team-building activities
Marketing & Social Media:
Manage and respond to online reviews, enhancing the clinic’s reputation.
Lead the clinic’s social media efforts to increase visibility and promote clinic values within the community
Assist with organizing community events, in-clinic celebrations, and appreciation activities with management team
Miscellaneous Duties:
Assist the Director of Operations with client-facing projects, such as new signage and visual displays.
Take on additional duties as needed in collaboration with the Director of Operations or Medical Director
Required Skills & Qualifications:
Proven experience tracking financial performance and helping drive revenue growth
Strong communication skills, with the ability to engage with clients, staff, and management effectively
Experience managing and leading a team, with a focus on improving performance and efficiency
A creative, solution-oriented thinker who adapts to changing scenarios
Ability to work independently and take ownership of key projects
Familiarity with electronic medical records or the ability to quickly learn new software
Preferred Skills & Experience:
Experience in a medical or animal care-related field preferred
Interest in taking on advanced leadership roles and growing within the company
Additional Details:
40 hours/week (4 day work week, 10 hour shifts OR schedule as determined with the Director of Operations)
Schedule varies Monday - Saturday
