We are seeking a skilled Office Manager to lead the daily operations of our thriving, family-focused chiropractic clinic. Join our team and help us provide exceptional care to our patients in a warm and welcoming environment.

    Key Responsibilities

    Maintain calendar of appointments and meetings

    Oversee and coordinate all administrative functions of the office, ensuring smooth day-to-day operations

    Serve as the "director of first impressions" for patients, addressing inquiries and ensuring a positive experience.

    Collaborate with chiropractor and other team members to streamline workflows and support clinical excellence.

    Collaborate with operations manager to create, update, and maintain office procedures.

    Maintain office equipment in good working order with the assistance of the IT department and contractors.

    Supervise, train, and support front desk staff to foster a cohesive and high-performing team.

    Pay bills, Bank deposits, Patient refunds, Collect payment from patients

    Present and set up Care Plans for patients

    Negotiate contracts and pricing with vendors and service providers

    Accurately maintain general office budget

    Some billing duties as assigned

    Manage phone, text and email communications with patients

    Certify and maintain all HIPAA requirements for our clinic, including monthly audits and logs through our paid program

    Support doctor in all treatment recommendations and keep patients on scheduled treatment plans

    Qualifications:

    Proven experience in office management, preferably in a healthcare setting.

    Exceptional organizational and multitasking skills with a keen eye for detail.

    Strong interpersonal and communication abilities to interact effectively with patients, staff, and providers.

    Proficiency in practice management software, billing systems, and insurance processes.

    Leadership skills to motivate and guide a team toward success.

    High school diploma required; a bachelor’s degree or equivalent experience is a plus.
