Q Home Sales, a leading real estate team in Rockland County, NY, is searching for an Office Manager to take our success to new heights. In this role, you’ll play a key part in supporting our agents by handling the administrative side of the business, allowing them to focus on serving clients and closing deals. We’re looking for a proactive and resourceful professional eager to make a meaningful impact on our growing team. Compensation: • Salary Range: $45,000 - $55,000 • Paid Time Off (PTO) • Stipend Benefits Available • Performance-based bonuses (after a 60-day period) • Opportunities for career growth and advancement Responsibilities: Office Operations & Administration • Oversee daily office functions, ensuring a productive and organized work environment. • Manage office supplies, equipment, and vendor relationships to maintain smooth operations. • Implement and refine office procedures to improve efficiency and workflow. Executive & Team Support • Provide high-level administrative support to leadership, including scheduling, correspondence, and special projects. • Assist with professional and personal tasks for executives as needed. CRM & Database Management • Maintain and update CRM systems to track leads, clients, property listings, and transactions. • Ensure accurate record-keeping and timely follow-ups for prospects and clients. Communication & Coordination • Screen and direct phone calls, emails, and other inquiries, ensuring timely responses. • Coordinate team calendars, property showings, client meetings, and company events. Real Estate Transaction Support • Prepare and review contracts, property details, closing paperwork, and compliance documentation. • Work closely with agents, clients, and vendors to ensure seamless transactions. Client Experience & Relationship Management • Act as a point of contact for clients, providing a professional and customer-first experience. • Handle client follow-ups and assist with scheduling, property inquiries, and concerns. Marketing & Lead Generation Support • Assist with social media management, email campaigns, and promotional efforts. • Support lead generation initiatives and ensure marketing materials are up-to-date. Financial & Budget Management • Oversee office expenses, budgets, invoicing, and financial record-keeping. • Assist with payroll, vendor payments, and financial reporting. Team Growth & HR Support • Assist in recruiting, onboarding, and training new hires as the company expands. • Foster a positive and collaborative office culture. Task & Time Management • Prioritize multiple responsibilities with strong organizational skills and attention to detail. • Maintain detailed checklists, deadlines, and project timelines for smooth operations. Real Estate Industry Knowledge (Preferred) • Experience in real estate administration or willingness to learn industry-specific processes. • Willing to obtain a real estate license (reimbursement provided) to enhance team support.
