As our Office Manager/Integrator, you will be at the heart of our operations, ensuring that everything runs smoothly and that our team is empowered to deliver the best service possible to our clients. Responsibilities: Administrative Management: • Take charge of daily office operations and ensure seamless workflow. • Keep our office stocked, organized, and running like a well-oiled machine. • Maintain our facilities and ensure our tech stays up and running. Human Resources: • Be the leader that keeps our team inspired and on track. • Hire, onboard, and train new team members to set them up for success. • Oversee payroll, PTO tracking, and performance evaluations to keep everything on schedule. • Ensure our attorneys and paralegals are meeting their billable hour goals. Financial Management: • Own the client billing and invoicing process to ensure smooth cash flow. • Manage expenses, vendor payments, credit card balances, and bank accounts. • Collaborate with our bookkeeper to provide clear, accurate financial reporting. Client Relations: • Create a top-tier client experience by ensuring professional, timely communication. • Address client inquiries and concerns with empathy and efficiency. • Manage collections and ensure past-due accounts are handled appropriately. Legal Support: • Oversee case management and ensure all documents are filed accurately and on time. • Keep attorneys on schedule with proactive calendar management. • Step in at the front desk when needed to keep operations running smoothly. • Handle daily mail distribution and ensure prompt responses. Financial Reports: • Daily: Snapshot of bank balances, credit card accounts, and LawPay transactions. • Bi-Weekly: Payroll expense insights. • Monthly: Deep dive into income, PL, and budget tracking. • Quarterly: Firm-wide financial trends and forecasts. • Annually: Year-end financial summary for tax prep and strategic planning. • Operational Reports: • Weekly: Office operations pulse check. • Monthly: Team productivity, client satisfaction, and efficiency breakdowns. • HR Reports: • Monthly: Staffing updates, training progress, and performance highlights. • Quarterly: Employee engagement trends and culture improvements. • Annually: Compliance audits and personnel reviews. Client Relations Reports: • Weekly: Client feedback and resolutions. • Monthly: Client satisfaction analysis and retention strategies. Legal Support Reports: • Weekly: Case status updates and deadlines. • Monthly: Efficiency insights on case management and turnaround times. Billing Revenue Tracking: • Ensure employees hit their billable hour targets every week. • Keep a sharp eye on accounts receivable and follow up on overdue payments. • Analyze revenue trends by practice area and identify growth opportunities. Special Projects: • Lead the charge on community events and firm outreach initiatives. • Organize complex special events and retreats for staff. • Drive the firm’s online reputation, ensuring consistent 5-star client reviews. Qualifications: • Must have at least 5 years experience in a professional office environment in an office manager capacity. Special consideration for experience in a law office or medical office.
