Job Title: Office Manager
Job Summary:
We are seeking a highly organized and detail-oriented Office Manager to support our team's administrative needs. The successful candidate will be responsible for ensuring the smooth day-to-day operation of the office, providing exceptional customer service, and contributing to the overall success of the organization. Key Responsibilities:
Administrative Support:
Provide administrative support to senior leadership and other departments as needed.
Maintain accurate and up-to-date records, files, and databases.
Manage office supplies, equipment, and services.
Onboarding and Training:
Coordinate the onboarding process for new employees, including orientation, paperwork, and benefits enrollment.
Develop and maintain training materials and procedures to ensure new hires are familiar with company policies and procedures.
Leadership Support:
Assist senior leadership in various administrative tasks, such as preparing reports, agendas, and other documents.
Provide input and recommendations on office operations, processes, and procedures.
Billing and Receiving:
Manage the billing process, including generating invoices, tracking payments, and resolving any discrepancies.
Process payments, receipts, and other financial transactions.
Collections and Follow-up:
Identify and follow up on past due invoices to ensure timely payment.
Communicate with clients to resolve any issues or disputes related to billing.
General Office Manager Responsibilities:
Maintain a safe and healthy work environment by adhering to company policies, regulations, and procedures.
Manage the office calendar, schedule appointments, and coordinate meetings as needed.
Ensure compliance with company policies, laws, and regulations.
Requirements:
High school diploma or equivalent required; associate's or bachelor's degree preferred.
2-3 years of experience in an administrative role, preferably in a similar industry or environment.
Excellent organizational, communication, and problem-solving skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Suite; experience with other software applications an asset.
Strong attention to detail and ability to prioritize tasks effectively.
Working Conditions:
This is a full-time position, working 40 hours per week.
The office environment is fast-paced, but the pace can vary depending on project demands.
