    Context: Our client, a trusted provider of oilfield services and equipment rentals, is actively seeking a detail-oriented and proactive Office Manager to support field operations and help keep everything running smoothly across three divisions.

    The Office Manager will be a central point of contact for day-to-day administrative and operational support. This individual will work closely with the Operations Managers to coordinate scheduling, manage dispatch logistics, ensure accurate ticketing, and handle accounts receivable. This is a fast-paced, high-responsibility role that requires strong organizational skills, a proactive mindset, and the ability to prioritize across competing demands.

    Key Responsibilities

    • Provide administrative support to three division Operations Managers
    • Schedule jobs and coordinate dispatch of field personnel and equipment
    • Communicate with customers to confirm job details, service timelines, and changes
    • Manage and process job tickets accurately and promptly
    • Track, prepare, and submit invoices in coordination with Accounts Receivable
    • Maintain organized records of tickets, job files, and related documentation
    • Monitor outstanding invoices and follow up on collections when needed
    • Act as the liaison between field staff and office personnel
    • Order office supplies and coordinate basic facility needs
    • Assist with timekeeping and payroll submissions as needed
    • Support internal reporting and documentation for operations and compliance

    Qualifications

    • Proven experience in office administration, preferably in oilfield services or a similar industrial field
    • Strong organizational and multitasking abilities
    • Experience with scheduling, dispatch, and customer coordination
    • Highly proficient with Accounts Receivable and ticketing systems
    • Proficiency in Microsoft Office Suite (especially Excel and Outlook)
    • Excellent communication and interpersonal skills
    • Ability to work independently and juggle multiple priorities
    • High school diploma or equivalent required; post-secondary education is a plus

    Preferred Experience

    • Knowledge of oilfield terminology and service operations
    • Experience with ERP or ticketing software (e.g., OpenInvoice, QuickBooks, SAP)
    • Background in coordinating field operations or supporting service crews
  • Compensation
    $75,000-$90,000 per year
