    Office Manager & Executive Assistant (Full-Time) Location: Chicago, IL (On-site 2x Weekly)

    Position Overview

    We are looking for a proactive Hybrid Office Manager & Executive Assistant to provide critical support to our senior leadership team and manage daily office operations. This dual-role involves a mix of administrative duties, executive-level support, and maintaining the office's efficiency.

    Responsibilities Office Management:

    Oversee daily office operations, including AR/AP, expense reports, QuickBooks journal entries

    Manage office supplies, procurement, and vendor relationships.

    Coordinate office maintenance and ensure compliance with local health and safety regulations.

    Organize and facilitate company meetings and events. Assist with employee relations

    Executive Assistance:

    Provide administrative support to senior management, including managing calendars, travel arrangements, and communications. (Minimum 3 years required)

    Prepare reports, presentations, and documents for executives.

    Serve as a liaison between executives and internal/external stakeholders.

    Handle confidential information with the utmost discretion and professionalism.

    Payroll, Accounting, and Administrative Oversight:

    Oversee payroll management (minimum 2 year of experience required).

    Manage accounts receivable and payable processes (minimum 2 year of experience required).

    Ensure accuracy and timeliness in financial reporting and transactions.

    Qualifications

    Bachelor’s degree or equivalent experience in office management, business administration, or a related field.

    Minimum of 2 years of experience in office management.

    At least 2 year of experience overseeing payroll.

    Experience with accounts receivable and accounts payable (2 year required).

    Minimum of 3 years of executive assistance experience.

    Proficient in Microsoft Office Suite, Google Workspace and other relevant software.

    Strong organizational, multitasking, and communication skills.

    Ability to work independently and as part of a team.

    Competitive salary: $60,000 - $70,000 (based on experience)
