This role is ideal for someone who is hyper-organized and able to keep even the busiest, less-organized realtors on track. And above all, you’ll bring a "no job is too small" attitude to every task.Areas Of FocusExecutive Administrative Support: Support company owners with projects, calendar management, and business tracking. Assist in recruiting by managing the CRM, coordinating follow-ups, and organizing campaigns. Prepare meeting materials and facilitate seamless communication between leadership and staffOffice Management: Ensure a welcoming, professional office environment by managing supplies, coordinating maintenance, and overseeing common areas. Handle calls, mail, and conference room scheduling. Process payroll, deposit commission checks, and liaise with accounting.Agent Support: Facilitate a smooth onboarding experience for new agents by scheduling meetings, training on internal systems, and assisting with transactions. Coordinate 3D home tours, create property websites in WordPress, and implement efficiency-driven processes.Event Planning: Plan and execute agent trainings, parties, and celebrations. Coordinate vendors, catering, and venues, and create marketing materials in Canva. Manage event communications through email and private Facebook groups.Workflow Management: Attend team meetings, take notes, and track action items. Manage calendars and transaction timelines, schedule inspections, and ensure document submission. Create and manage social media content for listings, pendings, sold properties, and open houses.
