    Position Overview: Castle USA is seeking an experienced, highly organized, and versatile Office Manager to oversee office operations, HR functions, accounting duties, customer service, and more. This pivotal role will ensure that the office runs efficiently while supporting the growth and development of the company. The ideal candidate will have experience in office management, HR practices, accounting, vendor management, inventory control, and more. This position is a one-stop-shop for office management excellence, offering a chance to make a significant impact on the company's success.

    Key Responsibilities:

    Office Management & Customer Service:

    Oversee the daily operations of the office, ensuring smooth processes and organization.

    Manage customer service functions, responding to inquiries, and ensuring customer satisfaction.

    Coordinate with vendors to manage inventory levels, order materials, and track shipments.

    Handle incoming and outgoing correspondence, including phone calls, emails, and packages.

    Supervise office equipment and supplies, ensuring they are adequately stocked and maintained.

    HR Management:

    Oversee the recruitment and hiring process, from job postings to interviews and onboarding.

    Maintain personnel records, ensuring compliance with company policies and legal regulations.

    Facilitate employee performance evaluations and development plans.

    Administer payroll, benefits, and timekeeping systems, ensuring accuracy and timeliness.

    Support employee relations and resolve any HR-related issues or concerns.

    Ensure workplace compliance with federal, state, and local labor laws.

    Accounting & Purchasing:

    Supervise day-to-day accounting tasks (accounts payable/receivable) handled by an accounting team member.

    Approve and oversee the processing of invoices, payments, and purchase orders managed by the accounting employee.

    Reconcile financial records and assist with budget preparation and reporting.

    Oversee purchasing of materials and office supplies, ensuring cost-effective decisions.

    Maintain accurate inventory records, tracking all items and materials.

    Required Qualifications:

    Bachelor's degree in Business Administration, Accounting, Human Resources, or related field (or equivalent experience).

    At least 5 years of experience in office management, HR, and accounting, with a strong track record in administrative leadership.

    Proficiency with accounting software (e.g., QuickBooks, Microsoft Excel) and payroll systems.

    Proficient understanding of HR best practices, compliance, and employee relations.

    Excellent organizational skills and the ability to multitask effectively.

    Strong communication skills, both verbal and written.

    Experience in vendor management and inventory control.

    Ability to work independently and as part of a collaborative team.

    Preferred Qualifications:

    Experience working in a manufacturing or machinery company.

    SHRM-CP or PHR certification is a plus.

    Previous experience with purchasing and supply chain management.

    Physical Requirements

    The position can be physically demanding and requires sitting, standing, walking, as well as occasionally bending, kneeling, and lifting up to 50 lbs., ability to use a computer for extended periods of time.
