Responsibilities: Greeting Visitors and Clients: • Welcome visitors and clients in a courteous and professional manner • Direct visitors to the appropriate person or department • Maintain a neat and organized reception area Answering and Managing Phone Calls: • Answer incoming phone calls promptly and professionally • Transfer calls to the appropriate individuals or departments • Take and relay messages accurately Managing Emails and Correspondence: • Monitor and respond to emails in a timely and professional manner • Forward important emails to the relevant staff members • Sort and distribute incoming mail and packages Appointment Scheduling: • Schedule appointments and meetings for staff members • Maintain and update calendars as needed • Send reminders to staff and clients about upcoming appointments Administrative Support: • Assist with various administrative tasks, such as data entry, photocopying, and filing • Maintain and update contact lists and directories • Order and maintain office supplies Accounting Support • Monitor and double check vendor invoices • Assisting in the recovery of outstanding balances when needed Customer Service: • Provide excellent customer service to all visitors, clients, and employees • Address inquiries and provide information about the organization's services or products Multi-Tasking: • Handle multiple tasks simultaneously, such as answering phones while assisting visitors • Stay organized and manage time efficiently Qualifications: • Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills • 1 year of experience as a receptionist, administrative assistant, guest service specialist, or similar position preferred • Well-versed in taking telephone calls and handling stressful situations • Has previous experience with word processing programs and basic computer skills Compensation: $40,000- $50,000
