    ORGANIZATION OVERVIEW

    OVERVIEW

    The Office Services Coordinator is United Way’s lead representative for those working at and visiting its 814 9th Street, Greeley, location to conduct business or to receive assistance. This role welcomes the public, refers to an applicable resource, contacts the person with whom they are meeting, or directs them to a meeting room. The coordinator staffs the front desk during open hours (9am-3pm Monday to Friday), answering and directing phone calls as received. The position performs clerical and other duties as assigned and supports the management of United Way-owned and leased properties and Information Technology functions.

    KEY RESPONSIBILITIES

    Front Desk

    Become familiar with all United Way programs, events and activities to ensure efficient and effective direction of guests, be they in-person or contacting the organization by phone or email.

    Welcome United Way visitors, board of directors, and staff in a professional and courteous manner.

    Answer incoming calls and direct calls to appropriate staff.

    Process mail daily and deliver to mailboxes. Accept and log deliveries and notify staff of arrival.

    Process cash and check receipts daily and prepare for deposit.

    Receive in-person monetary and in-kind donations as needed.

    Work with occasional visitors who are in crisis; direct to staff that can best be of assistance.

    Typing, tracking data, reporting, and scheduling. Email correspondence with staff.

    Ongoing communication with supervisor regarding any concerns about office operations.

    Order supplies as needed and/or inform supervisor of needed supplies.

    Perform tasks for President & CEO, Chief Operating Officer, and other departments as assigned.

    Open/close office areas.

    Property Management

    Involvement in oversight of owned and leased properties, which currently includes:

    330 Park Avenue, Fort Lupton - 333 6th Ave, Greeley

    814 9th Street, Greeley - 870 28th Street, Greeley

    Manage building maintenance and repairs by working with vendors including electrical, elevator, heating/air conditioning, janitorial, office equipment, plumbing, security system, telephone, etc.

    For 814 9th Street building:

    supervise office volunteers and special workers

    host inspection organizations such as fire department

    order office supplies as needed

    Information Technology

    Involvement in management of company-wide Information Technology function.

    Work with IT vendor to provision and deploy new computers and other hardware, institute company-wide software updates, and improve overall functionality.

    Hold staff accountable to IT best practices, including maintaining security protocols.

    Troubleshoot simple technology issues, directing staff to IT support as needed.

    United Way of Weld County General

    Support and promote the mission, values, goals and objectives of United Way, including representing United Way in professional organizations and the community (as assigned).

    Support fundraising efforts of United Way and activities that support United Way.

    Support United Way annual events, disaster response, and other activities as assigned.

    Participate in staff meetings and in service opportunities.

    Contribute to organizational promotions including writing promotional copy, proofreading informational and campaign materials, participation in outreach, etc.

    Other duties as assigned.

    EDUCATION/EXPERIENCE REQUIREMENTS

    Associates degree or two years of equivalent experience

    1-2 years’ experience in a related role

    Bi-lingual (English/Spanish) required

    POSITION INFORMATION

    Full-time (40 hours) non-exempt

    Pay Range (H6): $21.04-$24.17 per hour

    Plus $0.74 per hour Spanish speaking differential, if applicable

    Supervisory duties: No

    Reports to: Chief Operating Officer

    Eligible for remote work: No

    BENEFITS
