In this role, you’ll assist the Managing Director with daily office operations and play a key part in fostering a culture of passion and commitment to the Coldwell Banker brand among our sales associates. Responsibilities: • As the Office Support Specialist in Vail, CO, US, you will be responsible for maintaining positive and professional communication with agents and clients on a daily basis • Assist the Managing Director by facilitating the onboarding process for new and experienced agents in the office • Provide orientation to new agents on office operations, including copier, phone system, and floor duty • Engage with agents to offer education and training on Coldwell Banker systems, tools, and additional services • Support the Managing Director by actively participating in sales meetings, taking notes, and sharing information effectively • Plan and promote office events to enhance agent engagement and foster a positive office culture • Attend company-sponsored events during business hours to represent the office • Ensure timely deposit of commissions and provide necessary documentation to the transaction services team • Assist agents in maintaining contract compliance and keeping the transaction dashboard updated • Take charge of opening and closing the office, providing clear procedures for others as needed • Handle receptionist and administrative tasks such as answering phones, welcoming clients, and managing mail distribution • Maintain the professional appearance of the office space and keep office equipment in good working condition • Update and make agent contact information easily accessible within the office • Manage office supplies efficiently by using the centralized ordering system and ensuring timely replenishment • Support the accounting department with monthly transaction audits and agent billing tasks • Maintain the floortime calendar on a monthly basis • Provide agents with necessary real estate and company forms when required • Assist agents in ordering marketing services and collaborate with the marketing department for additional support • Contribute local office content and market data for the monthly office newsletter Qualifications: • Minimum of two years experience in a customer service role; real estate industry experience a plus • Possess a positive attitude, integrity, and passion for providing excellent customer service • Ability to multi-task with a high degree of detail orientation • Strong working knowledge of Microsoft Office or Google Suite applications • A driven and assertive individual who enjoys being the go-to person in a fast-paced office environment Compensation: $24 - $25 hourly
