Overview: We are seeking a highly organized and detail-oriented Office Support Specialist to join our team. The ideal candidate will manage client records, assist staff and customers, and ensure compliance with industry regulations. You will be responsible for various administrative tasks, including data entry, reporting, and maintaining accurate records in various software systems.
Key Responsibilities:
Maintain accurate client records in Greasr and Zoho systems, ensuring all information is up-to-date.
Assist, as needed, with customer service inquiries via phone, email, and website chatbot.
Perform regular data entry and report generation, including running daily, monthly, quarterly, and yearly reports in Greasr.
Handle registration, documentation, and compliance for fleet vehicles (IFTA, IRP, MCS-150, UCR).
Respond, as needed, to customer inquiries and perform follow-up tasks, including sending email and SMS campaigns.
Monitor and manage customer service platforms, including MightyCall, Greasr, and CATScales
Process and review invoices, and assist with AP-related tasks.
Assist with customer feedback, including monitoring Google reviews and responding to inquiries.
Perform other duties as assigned, contributing to team success and operational efficiency.
Qualifications:
Experience in administrative support, customer service, or similar roles.
Knowledge of IFTA, IRP, and fleet vehicle compliance is a plus.
Ability to handle multiple tasks and deadlines in a fast-paced environment.
Excellent written and verbal communication skills.
Valid driver's license and ability to visit DMV and other locations when needed.
Experience in customer service, managing email campaigns, and handling customer inquiries is preferred.
Must be comfortable working with sensitive and confidential information.
