You will play a crucial role in supporting our daily operations and ensuring smooth administrative functions. Responsibilities: • Implement policies of the association • Assist Manager in enforcing rules and regulations • Cite violations and conduct follow up to resolve problems • Monitor the initial paperwork for contractors, renovations deliveries for compliance to property protocol. • Prepare work orders for maintenance from residents and manager • Enter all work orders into system and back charge owner accounts • Maintain Buildinglink resident information • Oversee all Move In/Move Out activity – maintain calendar, collect fees and certificates of insurance. Communicate/coordinate with staff. • Oversee Community Room Rentals – maintain calendar, collect fees and certificates of insurance. Communicate / coordinate with staff • Prepare calendar of approved deliveries • Respond to complaints, questions, concerns, and suggestions of all members of the association • Answer all incoming calls • Greet residents and nonresidents as they enter the office and assist with their inquiries • Fulfil board request by performing work requested or informing manager or maintenance of the request Qualifications: • Proven experience in office organization and office protocols. • Property Management experience in condominiums preferred but not mandatory. • Must have excellent communication skills. • Must be highly organized, personable, and able to maintain a high level of service in the face of pressure situations. • Have experience in a deadline-driven environment and take action with a sense of urgency. • Provide excellent customer service and interpersonal skills; can empathize and build relationships with a variety of personalities. • Have excellent written, problem-solving, and verbal communication skills. • Must be technologically savvy; basic knowledge of Microsoft Office Word and Excel programs with the ability to learn new programs quickly and troubleshoot common issues. Compensation: $26 hourly
