ROLE OVERVIEW
This position is part of the Operations Team and reports directly to the Chief Operating Officer while working with the Operations Assistant to ensure that the organization is running efficiently. The Operations Admin assists with direct support to the COO or support to staff members as needed or assigned. This role requires exercising a high degree of confidentiality and professionalism.
ROLE DUTIES AND RESPONSIBILITIES INCLUDE, BUT NOT LIMITED TO
- · FACILITIES SUPPORT & FRONT DESK MANAGEMENT
- IT SUPPORT
- Troubleshoot IT requests and issues for the entire office including computers, printers, phones, etc.
- Help maintain team workstations through setup and retirement.
- Interface with IT vendor for IT projects and more complex issues.
- Maintain computer equipment and inventory tracking. This includes all IT-related equipment such as phones, printers, workstations, etc.
- Setup and ensure necessary equipment is ready for internal meetings.
- SOFTWARE SUPPORT
- Manage internal software systems such as the CRM, Proofpoint, and any technology implemented.
- Work with DAA to maintain TEAMs to keep consistency and updated for interfacing with the application.
- Own the phone system and MS Office 365 accounts by managing updates, changes, troubleshooting, etc.
- Keep team informed on use of technology and key updates.
- Assist DAA with any new software implementation as needs arise.
- HR
- Work with Executive Team to recruit for internal hires.
- Manage the internal recruitment process.
- Plan, coordinate, and execute company events for team building and special occasions.
- BACKUP SUPPORT TO THE DIRECTOR OF ACCOUNTING & ADMINISTRATION
- Payroll processing
- Client invoicing
- Client Fee Letters
- New Hire Documentation
- Other tasks as needed

- General computer skills, special dexterity with Microsoft 365 Suite. CRM Experience a plus.
- Front desk/reception and phone experience.
- Personal assisting experience.
- IT general office assist/trouble-shoot experience.
