    Operations Administrator Job Description

    The Operations Administrator will report to the Sr. Director of Operations and play a central role in the day-to-day administrative operations for e2E by supporting the Leadership Team to carry out company goals and objectives. Objectives of this role include creating and implementing operational best practices for the organization along with overseeing the client database management.

    Essential Duties and Responsibilities

    • Assist with implementation and set up of firm management software as well as day-to-day database administration.
    • Client database management – build and maintain client database.
    • Administer birthday celebrations, anniversaries, contact list, and professional credits. Associate list management.
    • Update and maintain digital file structure standardization. Manage associate access to digital file structure.
    • Assist sales team with administrative needs such as CRM database administration, tracking of client prospects, management of fee proposals, etc.
    • Engagement letters – draft letters and manage electronic signature process flow; signatures, filing, internal communications.
    • Equipment setups – manage/coordinate laptop setups for associates.
    • Support internal and external company communications.
    • Coordinate and schedule monthly Executive Sponsor meetings.
    • Manage and maintain monthly metrics and checklists as needed.
    • Coordinate meetings in partnership with the Sr. Director of Operations, CEO, or Leadership team. Management meetings – Coordinate, prepare, and circulate agenda in partnership with CEO, Leadership, and Management. Record, maintain, and communicate meeting notes.
    • All associate team meetings – Build presentations by coordinating with Sr. Director of Operations, CEO, Leadership, and Management team to develop agenda and slides.
    • Scheduling – Coordinate meetings and calendars for Leadership and Management teams, 3rd parties, and clients.
    • Mail – collate and distribute to staff.
    • Support Leadership and Management Team with administrative requests.
    • Provide regular on-site office support and serve as back-up for office courier.
    • Other additional administrative duties such as taking attendance at team meetings and scanning/copying/sending files for staff as needed.
    • Serve on the events team and provide administrative support for team event planning.
    • Other duties and responsibilities as identified or needed to help drive our vision and promise to help our clients grow.

    Required Qualifications

    • Bachelor's degree in business management or administration / or equivalent certification, education, and experience
    • 5+ years of administrative assistant experience reporting to executive and management teams.
    • Proficient in QuickBooks and Microsoft Office Suite or similar software.
    • Strong organizational skills and attention to detail.
    • Ability to identify opportunities for improvement related to efficiencies and priority items.
    • Experience with implementation & maintenance of firm management software.

    Preferred Qualifications

    • Bachelor's degree preferred, Business Management, Business Administration, Accounting, or related field.
    • Experience with Monday.com
