Qualifications:
As an Operations Coordinator you will be collaborate with the Director of Operations to oversee and manage the day-to-day operations of the firm’s Collections department. You will be responsible for leading and developing staff managers, ensuring that staff managers are meeting performance targets and that all collections activities comply with legal and client requirements. You will also be responsible for reviewing the firm’s processes and procedures and implementing new strategies to increase efficiency and effectiveness.
Essential Functions, Duties, and Responsibilities:
· In coordination with the Director of Operations, develops and modifies collections policies and procedures to ensure the firm’s operations comply with client requirements and law.
· Assists the Director of Operations with overall management of the Collections department including process review and enhancement, reporting, process mapping and vendor management. Provides input and expertise in support of the department’s strategic goals and objectives.
· Assesses department processes, procedures, and practices to identify areas of increased efficiency and/or effectiveness. Proposes and implements solutions to address identified gaps and increase the overall effectiveness of the department and achievement of departmental goals.
· Plans, directs, and coordinates processes through a team of managers to include work assignments, monitoring, coaching, performance evaluations, hiring and scheduling.
· Develops, coaches and trains managers and conducts ongoing training to ensure performance expectations are met and proper staffing levels are maintained.
· Partner with the firm’s IT staff to ensure their tasks are being completed accurately and on time, collaborate on report coding, ensure optimization of technology and processes to improve use of proprietary software.
· Monitor and partner with HR on team engagement and morale.
· Analyze data to develop and implement collection strategies that are tailored to specific types of debts and clients.
· Monitor performance metrics to identify trends and opportunities for improvement.
· Collaborate with accounting to forecast and analyze our profitability and provide recommendations on opportunities and weaknesses that need to be addressed with direct management.
· Participate in regular Collections department meetings, monitor issues and concerns, and assist in directing the department to achieve departmental and firm initiatives and goals.
· Analyze client performance and assist with client relations and audits.
Requirements, Experience and Skills:
· Candidates should have 3+ years of third-party experience in collections management, with experience leading supervisors and groups of employees.
· Proven and strong background in project management.
· Strong knowledge of collections and call center operations, technology, collection concepts, practices, policies and procedures.
· Ability to create and analyze data and reports.
· Strong leadership and motivational skills.
· Broad technology skills including ability to create reports in Excel. Knowledge of relational databases is helpful.
· Strong written and verbal communication skills.
· Financial banking background is helpful.
