    Position Description

    The Operations Manager is a vital member of the SBPAN team, ensuring the smooth and efficient functioning of our organization. This role requires a dynamic individual with strong financial management skills and a knack for clear communication. The Operations Manager will be responsible for managing financial operations, including budgeting, accounts payable and receivable, and financial reporting for government and private grants. Additionally, they will play a key role in organizational communications, including creating and distributing e-newsletters and maintaining databases.

    Key Responsibilities

    Operations and Administrative

    · Develop and implement operational policies and procedures to improve organizational efficiency.

    · Manage vendor relationships and negotiate contracts for services.

    · Oversee office management functions, including procurement of supplies and equipment.

    · Provide administrative support to the Executive Director and other staff members as needed.

    Financial Management

    · Develop and manage organizational budgets, ensuring alignment with strategic goals.

    · Oversee accounts payable and receivable processes, ensuring timely and accurate processing of invoices and payments.

    · Prepare and submit financial reports for government and private grants, ensuring compliance with all reporting requirements.

    · Maintain accurate financial records and ensure compliance with all applicable financial regulations.

    Meeting Management

    · Plan and coordinate organizational meetings, including staff meetings, board meetings, and committee meetings.

    · Develop meeting agendas, prepare meeting materials, and ensure that meeting logistics are handled effectively.

    · Record meeting minutes and track action items, ensuring timely follow-up and completion.

    Communications Task

    · Develop and distribute regular e-newsletters to stakeholders, including members, donors, and partners.

    · Manage and update organizational databases, ensuring data accuracy and integrity.

    · Assist with the development and implementation of communication strategies.

    · Draft and edit organizational materials, such as reports, presentations, and website content.

    Other Duties

    Accepts and performs other work as assigned.

    Qualifications:

    Minimum Requirements

    · Bachelor's degree in Business Administration, Nonprofit Management, Communications, or a related field.

    · 3+ years of experience in operations management, preferably in a nonprofit setting.

    · Strong financial management skills, including budgeting, accounting, and financial reporting.

    · Experience managing government and private grants.

    · Excellent written and verbal communication skills.

    · Proficiency in Microsoft Office Suite or similar software.

    · Experience with database management.

    · Experience creating and distributing e-newsletters.

    · Passion for social justice and commitment to SBPAN's mission.
