    Title: Operations Manager for Early Learner Program

    The Operations Manager is responsible for the day-to-day management, scheduling, reporting and general administrative tasks in support of the Program's operations. The Operations Manager will ensure the work of the BCBAs and RBTs is carried out in accordance with company policy and procedures, and works collaboratively with speech therapists and occupational therapists.

    Job Duties

    Responsible for maintaining company policies and procedures and communicating expectations to staff.

    Supervises daily activities and client schedules at the Early Learner Program.

    Maintains organization and cleanliness of the learning and work environment on a daily basis and schedules professional maintenance or cleaning as needed.

    Provides and maintains training for new hires, arranges and coordinates ongoing staff training, and professional development.

    Oversee the maintenance of accurate records related to the staffing and delivery of service for each case as well as assist in the creation, maintenance, and management of a master schedule, adequately staffing clinical cases according to the budgeted hours per client as authorized by the client's insurer and by standards specified by the Children’s SPOT Inc. and in accordance with state regulationsCommunicates schedule changes, finds a replacement or provides coverage for staff when a staff call out occurs.

    Provides billing oversight to ensure accurate billing occurs. Assists and conducts billing audits and ensures follow up with staff as necessary.

    Participates in the interview process for prospective BCBAs and RBTs and is part of the hiring decision.

    Participates in the staff review process and provides disciplinary action following The Children’s SPOT discipline policy.

    Communicates with prospective clients and conducts tours..

    Provide coverage for RBT absences no more than 5 hours per week.

    Completes session notes and other documentation in a timely manner when providing coverage

    Other Qualifications for this position include:

    BS/BA degree or equivalent RBT certified or willing to become RBT certified.

    Prior experience as an Operations Manager is preferred.

    2 years medical, dental, therapy, PT, OT office (or similar) administration or scheduling required

    Experience supervising others, setting goals with supervisees, and conducting performance reviews.

    Experience completing audits, reviewing notes, and ensuring compliance.

    Skills and Abilities:

    Highly organized, demonstrating the ability to use technology to maintain schedules and client records.

    Ability to work independently towards assigned goals

    Excellent time management and organization skills

    Able to stand for long periods of time and frequent movement within the clinic is requiredAble to communicate and collaborate routinely with staff.

    Assess situations and make proper judgments

    Objectively analyze crisis situations and respond quickly to emergency situations.

    Communicate effectively and make recommendations to the ownership and administrative team.

    Maintain and prepare clear and concise reports as requested.

    Work independently and make decisions within the framework of established guidelines.

    Follow guidance from senior level staff to enhance their own professional development.

    Work with a diverse team of professionals in a respectful manner.

    Availability: Works 40 hours per week

    Position Type: Full Time Position (Monday-Friday, 7:30-4:30)
