Summary
This position performs most administrative functions within logistical and customer service department as needed. Incumbent maintains and coordinates, general administration of our logistics and customer service operations for the purpose of improving processes to better serve customers and to make the company procedures more efficient.
In addition to critical coordination of sales support, the incumbent performs duties such as coordination of transportation, inventory and order fulfillment matters and working on special projects as requested. Deals with a diverse group of critical external callers and visitors as well as internal contacts at all levels of the organization.
General Accountabilities
Inventory Control:
Plan effective strategies for the financial well-being of the company
Enter all incoming product from China into the internal inventory file
Maintain accurate records of incoming volumes, damaged goods, and outgoing order volumes
Maintain an accurate and accessible inventory file for review by sales team
Maintain and Coordinate inventory levels at warehouse(s), with an emphasis on minimizing storage costs and maximizing available space
Request periodic On-Hand Summary reports from third party logistics partners when applicable and reconcile with internal inventory records
Administration of Manufacturers’ certificate and statement controls
Sample inventory control (keep stock up and change COA’s
Maintain and coordinate customer compliance questionnaires
Logistics/Order Fulfillment:
Process and log all customer purchase orders
Process and prepare all orders being fulfilled from warehouse
Inspecting all incoming/outgoing shipments to ensure outside packaging has not been compromised and that all orders are properly stacked and wrapped
Ensure that all order details are being met by the shipment checking for the correct product, specification, batch number and order volume
Arrange for transportation of all orders using Life Bridge’s own 3PL account, or a customer preferred method
Run freight quotes for potential orders
Occasional audit of Third-Party Logistics partners and warehouses
Generate and file proper documentation for all orders including a Packing List, COA and signed release or Bill of Lading
When applicable, issue the proper documentation for orders being released from 3PL’s specifying all order details along with a pick-up date. These orders must also include a Packing List and COA along with a request for a signed copy of the Release/BOL
When applicable, arrange for transportation from a local vendor when product is not available through Life Bridge
Coordinate with TX and internal LBI liaison all communication with Import Agent or Broker for all incoming product shipments from China with emphasis on destination port ETA and availability
Coordinates logistics and deliverables for trade shows. Logistics can include booking booth and meeting space, creation of registration badges, managing housing, packing, and sending exhibition material from the warehouse and returning exhibition materials to the warehouse

Best Practices:
Improve processes and policies in support of organizational goals. Formulate and implement departmental and organizational policies and procedures to maximize output. Monitor adherence to rules, regulations, and procedures.
Production:
Coordinate and monitor the work of various departments involved in production, warehousing, pricing, and distribution of goods. Ensure quality of product.
Provide technical support where necessary.
Customer Service:
Support sales department in resolving customer inquiries and logistics matters
Strategic Input:
Liaison with senior management. Assist in the development of strategic plans for operational activity. Makes recommendations for improvement, executes, and coordinates operational plans.
Coordination:
Coordinates and supports various departments in the organization
Performs other related duties as assigned by management.
Job Qualifications
Education: High school diploma or equivalent. College degree is highly desirable
Experience: 3 to 5 years of related experience.
