    Overview

    The Operations and Inventory Specialist oversees the day-to-day operations related to production, logistics, and supply chain management. This role will work closely with the Customer Success team to ensure customer satisfaction and that performance goals related to delivering high-quality products are met.

    Roles & Responsibilities

    Inventory Management:

    • Manage daily inventory levels and conduct regular cycle counts (weekly, monthly, yearly).
    • Track stock levels accurately using the ERP System and ensure proper documentation.
    • Oversee parts availability for sales and service in the US office across all product lines.
    • Continuously improve inventory management practices and ensure departmental accountability.
    • Implement and maintain a system to monitor minimum stock levels.

    Production: Product Handover Management:

    • Coordinate with the Customer Success Director for timely system testing and accurate documentation.
    • Maintain a production handover timeline tracker and share updates with stakeholders.
    • Track parts and accessories ordered for US customers, ensuring robust monitoring.
    • Keep the Customer Success team informed of manufacturing timelines and potential challenges.
    • Collaborate with the team to address and mitigate production delays.

    Sales to Production Process Management:

    • Ensure the accuracy of quotes and sales orders concerning product and production.
    • Confirm accurate communication with vendors regarding production for sales orders and relay updates to the Customer Success team.
    • Coordinate with manufacturing teams to ensure sales orders are accurately produced and communicated.
    • Work closely with the R&D Project Manager to design and develop special accessories according to customer specifications.

    Purchasing:

    • Ensure timely procurement of parts needed for R&D and service activities.
    • Collaborate with the finance team to complete all documentation and approvals before making purchases.
    • Issue purchase orders to vendors and manufacturing teams promptly for products and accessories.
    • Track service activity purchases with the Customer Success team.

    Shipping and Receiving (Logistics):

    • Adhere to shipping guidelines and ship parts/products globally with proper documentation.
    • Ensure documentation is accurate and complete for customs clearance, coordinating with shipping companies for timely customs processing.
    • Follow established guidelines for receiving and updating inventory.
    • Coordinate with rigging companies for installations.

    Quality:

    • Implement NCR (Non-Conformance Report) and SCAR (Supplier Corrective Action Report) processes for addressing product defects.
    • Ensure the availability of parts for field corrections in the US and for global life sciences products.
    • Introduce best practices in the quality system.

    Work Environment:

    • Manage office infrastructure maintenance, cleanliness, and asset management, including supplies, printer management, HVAC, etc.
