    Job Description

    Our Ophthalmic practice needs an Office Manager who can take over the administrative duties involved with coordinating patient and physician schedules as well as file management and office organization. We’re looking for a professional who believes that patients should be treated as people rather than numbers in a file, and who understands the value of compassionate service. The job includes significant amounts of multi-tasking, but the ideal candidate will know when to slow down, look patients in the eye and provide personalized service. There are a few advancement opportunities for the successful applicant.

    Job Responsibilities include:

    • The medical office manager is responsible for the financial performance of the revenue cycle
    • Supervision of patient scheduling, registration, financial counseling, medical records, billing and collection, data entry and processing, and cash posting
    • Coordination of the day to day operations of the practice
    • Promoting excellent customer service by all levels of the staff
    • Develops, implements, and maintains office policies and procedures
    • Interviews, hires, and trains a productive medical office team and conducts performance reviews
    • Maintains and manages all filing and organizational systems for the practice
    • Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences.
    • Ensures regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations.
    • Coordinates staff meetings for administrative and clinical staff
    • Coordinates logistics for internal and external meetings and conferences
    • Ensures staffing is appropriate for day to day operations
    • Assists in special projects
    • Manage records and information
    • Plan and maintain work facilities
    • Encourage and improve cross-department internal communication
    • Supervise other office tasks (replenish office supplies, distribute mail, custodial duties, etc.)
    • Provide physician and patients with support and guidance as needed

    EXPERIENCE/EDUCATION REQUIRED:

    • Bachelors Degree Required. MBA preferred.
    • Prior experience in a leadership role
    • Familiarity with medical industry is a plus, particularly involving medical billing
    • Ability to handle a fast-paced environment and prioritize tasks based on importance
    • Excellent communication and problem solving skills

    JOB TYPE: Full-time Monday-Friday. Some Saturdays will be needed.
