    As a Sales & Sourcing Administrative Assistant you play the crucial role of supporting the VP of Sales and Sourcing, while providing support to the Sales & Sourcing team as directed to ensure that company goals and objectives are accomplished. Your ability to anticipate needs and proactively seek information and resources to meet those needs in a timely fashion will contribute to the overall success of our company and produce trade.

    HERE’S WHAT YOU’LL DO:

    • Project management support for strategic plan initiatives including, organizing meetings, taking meeting minutes, data collection and tracking status.
    • Prioritize conflicting needs, handle matters expeditiously, and proactively follow through on projects to successful completion (often with deadline pressures).
    • Collaborate with coworkers to track tasks within each project.
    • Communicate with external parties, such as vendors or growers, responding to inquiries and assisting with the preparation and distribution of reports and statements. 
    • Take meeting notes and prepare communications, such as memos, emails, and other correspondence. Track follow-ups and action items with coworkers.
    • Build decks to support meetings and initiatives to display during department meetings, customer presentations and sales pitches.
    • Coordinate complex scheduling and extensive calendar management for the VP of Sales and Sourcing.
    • Schedule and coordinate department calendar of meetings, events, interviews, orientations, appointments and other similar activities.
    • Complete time cards, expense reports for reimbursement and corporate credit cards for the sales and sourcing management team.
    • Manage complex travel arrangements, including travel management and expense/receipt submissions.
    • Budget tracking and support.
    • Other general administrative duties as assigned.

     

    QUALIFIED CANDIDATES WILL HAVE:

    • Minimum of 4+ years of experience as an Administrative Assistant, or comparable experience.
    • Demonstrated project management experience.
    • Experience operating in a deadline-driven environment.
    • Must be proficient with Microsoft Suite.
    • Keen organizational agility/savvy and influencing skills.
    • Detail-oriented, organized, and effective time management skills required.
    • Self-directed, able to manage multiple conflicting priorities.
    • Exceptional writing and editing skills.
    • Excellent interpersonal, communication, and listening skills.
    • Ability to work effectively with all OGC stakeholders: coworkers, growers, customers, community allies, and mission-aligned investors. 
    • Must be flexible and agile to support OGC business needs and mission and may be assigned projects and/or other duties outside of normal job functions to meet the needs and demands of the business.

    PHYSICAL REQUIREMENTS:

    This position requires the ability to sit for long periods of time, hear and converse over the telephone and in person, key data efficiently and accurately frequently on a computer. Requires ability to accurately receive and disseminate information to maintain and enhance relationships.  Ability to meet above description of position with or without reasonable accommodation.
