Job Overview: The Orthodontic Treatment Coordinator will be responsible for managing the day-to-day operations of the orthodontic department, ensuring smooth patient flow, providing support to the orthodontic team, and helping to ensure an outstanding patient experience. This position is key in maintaining patient schedules, coordinating treatment plans, and assisting with administrative duties. Key Responsibilities: Patient Coordination: Schedule and confirm appointments, manage patient flow, and ensure efficient and timely treatment progress. Treatment Planning Support: Assist the orthodontist with explaining treatment plans, financial arrangements, and progress to patients and their families. Records Management: Maintain accurate patient records, including treatment history, billing, and progress notes. Ensure compliance with all relevant regulations and confidentiality standards (HIPAA). Insurance Verification: Verify patient insurance coverage and assist with filing claims and tracking payments. Customer Service: Provide excellent customer service to patients, addressing any questions or concerns and ensuring a positive experience at each visit. Communication: Act as the liaison between patients, orthodontists, dental staff and the referring doctor, ensuring seamless communication and coordination. Office Support: Assist in maintaining office supplies, equipment, and other administrative tasks as needed. Collections: Responsible to collect payments, patient balances, keeping current with the account receivables
Qualifications: Previous experience in orthodontics, dental assisting, or as an orthodontic coordinator (preferred but not required). Strong organizational and multitasking skills. Excellent verbal and written communication skills. Ability to work well in a fast-paced, team-oriented environment. Knowledge of orthodontic terminology and procedures is a plus. Proficiency in using dental/orthodontic software (e.g., Dolphin Management, Eaglesoft). High school diploma or equivalent; associate’s degree or higher preferred.
