Job Summary
We are seeking an Office Manager to join our team. In this role, you will coordinate all administrative duties and office procedures, ensuring the workplace operates smoothly and efficiently. Your responsibilities will include hiring, coordinating staff schedules, HR management, paying invoices, and office payroll. The ideal candidate is highly organized, with excellent verbal and written communication skills and the ability to implement systems and procedures.
Responsibilities
Create and Maintain office calendar
Design the daily schedule efficiency and organization in mind
Collaborate with front and back office staff to create, update, and maintain office procedures
Maintain office equipment in good working order with the assistance of the clinic
Pay and record invoices
Negotiate contracts and pricing with vendors and service providers
Accurately maintain general office budget
Plan and implement team meetings
Plan and implement outside marketing events
Plan and manage social media content creation
Answer routine Patient Treatment and Billing questions
Work closely with Orthodontist and Treatment Coordinator
Qualifications
High school diploma/GED required, some college preferred
Previous experience as an Office Manager or similar position preferred
Understanding of office equipment, systems, and procedures
Skilled in Microsoft Office, Excel, and Outlook
Excellent time management skills and ability to prioritize multiple tasks
Strong problem-solving skills and attention to detail
Excellent verbal and written communication skills
Ability to create and maintain a Strong Positive Team Atmosphere
