WE ARE SEEKING AN ADMINISTRATIVE COORDINATOR/EXECUTIVE ASSISTANT to serve as a liaison between the dealership, the accounting office, and the Human Resources Department. WE ARE LOOKING FOR THE RIGHT CANDIDATE TO FIT THE TEAM AND CULTURE.

    DUTIES:

    ACCOUNTING:

    • Process daily deposits for all departments
    • Reconcile Schedule 211 (Cash Clearing)
    • Post Vendor Invoices (without POs) to Accounts Payables
    • Reconcile credit card statement (monthly)
    • Record and pass on calls with accounting issues
    • Assist Accounting staff

    SALES:

    • Verify all required paperwork is in the deals
    • Maintain inventory of Temp Tags for Sales
    • Assist Management Team
    • Assist with application/renewal of sales licenses

    HUMAN RESOURCES:

    • Verify required paperwork for new hires
    • Process drug screen
    • Submit Background Check
    • Send New Hire paperwork and upload to Applicant Tracking System (ATS)
    • Assist with New Hires in Paycor
    • Order Business Cards
    • Order Name Tags
    • Communicate and schedule with employees on mandatory HR meetings
    • Field and direct employee questions and/or concerns to correct resource
    • Assist HR Manager
    • Order any company swag

    SUPPLIES:

    • Order & maintain all office supplies
    • Assist in/Order forms for dealership
    • Dealer Tags – inventory tags for renewal each year – update Google Sheets with tag info

    MAIL:

    • Forward all incoming Postal Mail to Accounting (Do not Open)
    • Receive, Store & Deliver incoming Office Supplies

    GENERAL MANAGER:

    • Assist GM in all matters
    • Plan Holiday Events
    • Schedule meetings
    • Interact with and diffuse customer and employee concerns
    • General observation of processes and staff members
    • Light social media interaction
    • Potential off-site representation of company
    • Occasional weekend work
    • Online review and reputation management
      • Solicit, respond, resolve, challenge utilizing online review platform
      • Monitor social platforms & alert when negative or inappropriate content is identified
    • Assisting with any other reasonable requests from Management

    QUALIFICATIONS AND SKILLS:

    • Professionalism

    • General office skills
    • 2+ years’ experience in Administrative role preferred
    • Proficiency in Microsoft Office tools and Google Docs required
    • High School Diploma or equivalent required
    • RESUME MUST BE UPLOADED, AND ONLINE ASSESSMENT COMPLETED FOR IMMEDIATE CONSIDERATION.
    • MUST BE AUTHORIZED TO WORK IN THE U.S. WITHOUT SPONSORSHIP AND BE A CURRENT RESIDENT.
    • Must pass pre-employment testing to include background checks, MVR, and drug screen.
