    Position: Full-Time Location: Prince George’s County, Maryland Salary: $50,000 - $65,000 per year, depending on experience and qualifications

    Position Summary The Office Manager will oversee all administrative and front-office functions, ensuring efficient daily operations of the clinic. This role requires a proactive, organized, and patient-centered professional who can foster a caring atmosphere and ensure high standards in patient service.

    Duties and Responsibilities

    Office Management & Administration

    Oversee day-to-day office operations, ensuring that the clinic runs smoothly and efficiently.

    Maintain patient records, ensuring compliance with HIPAA and other regulatory standards.

    Coordinate and schedule patient appointments to optimize therapist schedules.

    Order and manage office supplies, clinic equipment, and inventory.

    Prepare and submit billing information, insurance claims, and manage accounts receivable.

    Develop and implement office policies and procedures, ensuring staff awareness and compliance.

    Patient Relations & Customer Service

    Greet patients warmly and manage patient check-in/check-out processes.

    Handle patient inquiries, complaints, and issues with professionalism and empathy.

    Ensure patients understand treatment plans, appointments, and financial obligations.

    Collect patient co-pays, process payments, and manage the billing system.

    Staff Coordination & Support

    Provide support to clinical staff with scheduling, documentation, and patient follow-up.

    Manage office communications, including email, phone, and written correspondence.

    Conduct new employee onboarding for front-office and administrative staff.

    Coordinate and facilitate staff meetings and training sessions.

    Financial & Reporting

    Prepare daily financial reports, including billing, payments, and payroll summaries.

    Work with the clinic’s management team to develop and adhere to budget guidelines.

    Track and analyze key metrics (patient volume, revenue, and expenses) to support clinic goals.

    Collaborate with third-party billing companies and resolve discrepancies as needed.

    Compliance & Quality Assurance

    Ensure all clinic policies, especially related to patient privacy (HIPAA), are upheld.

    Perform periodic quality assurance checks on patient records and documentation.

    Update and maintain a clean, organized, and welcoming office environment.

    Qualifications

    Education: Bachelor’s degree preferred in business administration, healthcare administration, or a related field. High school diploma or equivalent with significant relevant experience may be considered.

    Experience: 2+ years of office management experience, ideally within a healthcare or physical therapy setting.

    Skills:

    Excellent organizational and multitasking abilities.

    Strong communication and interpersonal skills.

    Proficiency in medical billing and office management software (experience with electronic medical records (EMR) systems is a plus).

    Ability to work effectively in a fast-paced environment and maintain composure under pressure.
