    Job Description

    Established in 2006, PSE - Private & Public School F-1 Exchange (www.pse-edu.org) is committed to promoting international understanding and goodwill through cultural exchange. Based out of Portland, OR, PSE works with a vast network of international sending organizations around the world, private and public high schools across the U.S., and trained local coordinators in each community to enroll students with an F-1 visa in high schools and place them with host families for an academic and cultural program experience. Fully listed with the Council on Standards for International Educational Travel (CSIET), PSE adheres to the highest quality and safety standards in the F-1 industry.

    We are hiring an Admissions Coordinator to support our international student application, admissions, and enrollment procedures. This is full-time, non-exempt position that reports to the PSE Program Manager. The position is remote.

    JOB DUTIES:

    The Admissions Coordinator is responsible for processing international student applications and facilitating student enrollment in U.S. high schools. This position works closely with international partner organizations, U.S. high school staff, PSE field staff, and PSE program staff to ensure receipt of completed and accurate application documents, confirm school acceptance, coordinate enrollment, and facilitate other pre-arrival tasks.

    The Admissions Coordinator masters school-specific procedures to ensure the timely submission of online and paper documents, assists with school marketing materials, and develops deep knowledge of program schools and programmatic details to be a knowledgeable advisor on school choices for international partner organizations. This position requires strong customer service focus to nurture school and partner relationships in order to deliver an excellent admissions experience to all parties and further the company’s mission to deliver high-quality international education programs. The Admissions Coordinator will support other administrative and programmatic procedures as needed.

    The main responsibilities of this position will include, but are not limited to, the following:

    ADMISSIONS SUPPORT

    • Ensure student applications are complete and follow up with sending organizations as needed

    • Coordinate with schools, international sending organizations, and PSE operations staff to ensure timely student acceptance, the submission of school-specific documents, and delivery of the I-20 form

    • Communicate acceptance and any notable student information to PSE field and operations staff

    • Consistently update online student application database and excel spreadsheets throughout admissions and enrollment process to track student status

    • Maintain current immunization requirements for schools across the U.S. and follow up with sending agencies on missing immunizations prior to student arrival

    • Handle post-arrival tasks as needed, such as course registration requests and apostille and convalidation processes for school transcripts and diplomas

    • Collaborate with Program Manager to execute outreach strategies to schools for updated school information and/or to develop and expand programs and strengthen partnerships

    • Update school marketing profiles and maintain accurate and updated information in online school database

    • Document significant communication with partners and schools

    • Cooperate with Accounting department to assist in accurate invoicing and timely payments as needed

    • Communicate and coordinate with Program Manager and all members of operations team to support and achieve program goals

    • Contribute detailed updates in team and one-on-one meetings

    • Assist in revising current and developing new procedures to increase efficiency

    • Assist with preparation for annual audit

    ADMINISTRATIVE DUTIES

    • Create and maintain procedural checklists
    • Create and maintain spreadsheets
    • Offer general program assistance as needed

    SKILLS AND EXPERIENCE: The ideal candidate will have the following skills and experience:

    • Bachelor’s degree and 3 years minimum administrative experience
    • International travel and/or study abroad experience a plus
    • Intermediate proficiency in Microsoft Excel, Word and Outlook and ability to quickly learn other databases and programs
    • Strong organizational skills and attention to detail
    • Excellent verbal and written communication skills
    • Experience managing multiple projects to deliver results in a timely manner under pressure
    • Strong customer service skills and professional attitude and behavior
    • Good judgement and ability to take initiative without constant supervision and guidance
    • Personable and team-oriented
    • Ability to plan and prioritize effectively
    • Experience working with people from a variety of backgrounds
    • Ability to be flexible and adapt to changing priorities with a positive attitude
    • Ability to meet the attendance requirements and performance expectations of this position
    • Must be able to read, write, and communicate fluently in English
    • Must be able to legally work in the U.S.

    TRAVEL: None expected but might have occasional opportunities in the future. MANAGEMENT RESPONSIBILITIES: No.

    COMPENSATION: Starting wage will be $22-24/hr commensurate with experience. Benefits include health insurance, paid time off and sick leave, and 401K retirement plan.
