    This hybrid role combines paralegal and administrative assistant responsibilities, providing essential support to our legal department with a focus on construction contracts and commercial finance transactions. The ideal candidate is highly organized, detail-oriented, and possesses strong analytical, communication, and research skills.

    Key Responsibilities:

    Assist in drafting, reviewing, and negotiating construction contracts, subcontracts, purchase orders, and change orders.

    Conduct due diligence on contractors and subcontractors, including license and insurance verification.

    Support the management of construction claims and disputes, including document collection, organization, and analysis.

    Prepare and file legal documents related to construction projects, such as lien waivers and notices of claim.

    Assist with the preparation and closing of commercial loan transactions, including loan and security agreements, promissory notes, and related due diligence.

    Conduct due diligence on borrowers and collateral, including UCC searches, property records checks, and financial statement analysis.

    Support loan enforcement, including preparing and filing foreclosure documents, UCC filings, and collection-related materials.

    Maintain accurate records of commercial finance transactions, including loan files and closing documents.

    Conduct legal research and prepare memoranda on construction and commercial finance topics.

    Assist in the preparation and filing of court documents.

    Manage electronic and physical legal files.

    Coordinate with outside counsel and third-party professionals, such as title companies and surveyors.

    Manage attorney calendars, schedule meetings, and arrange travel.

    Handle phone calls, screen correspondence, and maintain office supplies.

    Prepare and process expense reports.

    Assist with onboarding new employees and provide general administrative support as needed.

    Requirements:

    Preferred Education/Experience: Paralegal certificate from an ABA-approved program or a Bachelor's/Associate’s degree in paralegal studies.

    OR Minimum five years of related experience performing paralegal duties under attorney supervision, with demonstrated experience in commercial finance and/or construction law.

    Minimum two years administrative experience working as a paralegal in a law firm or in-house legal department with strong focus on construction/finance law.

    Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

    Ability to handle multiple projects simultaneously with attention to detail.

    Ability to maintain confidentiality and handle sensitive information with professionalism.

    Ability to work both independently and as part of a larger team.

    Strong organizational and time-management skills.
