    Job overview:

    We are seeking a highly organized and professional Receptionist/Office Assistant to join our team. As one of the first points of contact for our office, you will play a crucial role in providing excellent customer service and ensuring smooth daily operations. This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

    Responsibilities:

    Answer incoming calls, direct calls to the appropriate personnel or take accurate messages and relay them accordingly.

    Fill out call sheets to get all the necessary information from incoming job leads.

    Enter and maintain contacts and leads into the CRM system (Hubspot).

    Create new job folders and enter the information into the Job database (Encircle).

    Monitor the main email address: service@certifiedrestorationinc.com, address or forward emails to the appropriate personal.

    Collect incoming mail and distribute it to appropriate individuals.

    Assist with scheduling inspections, working directly with the Production Manager.

    Maintain office calendars and schedule appointments as needed.

    Assist with preparation of letters, emails, and phone calls when necessary.

    Assist with administrative duties such as data entry, copies, scans, and printing.

    Maintain a filing system for completed jobs.

    Manage the inventory of office supplies and uphold office cleanliness.

    Work closely and assist other management staff and departments with administrative support.

    Monitor and respond to customer reviews.

    Assist with assigned marketing duties.

    Skills:

    Prefer experience as a receptionist or administrative assistant

    Excellent phone etiquette and communication skills

    Strong organizational and support skills

    Proficient in Microsoft Office and Google platforms

    Willingness to learn new software (Encircle, Hubspot, etc.)

    Ability to work self-sufficiently and to prioritize tasks effectively

    Punctuality and reliability is a must
