We are seeking a dynamic and organized Office Manager to join our growing physical therapy clinic. The Office Manager will play a pivotal role in ensuring the smooth operation of our clinic by overseeing administrative tasks, managing patient relations, and supporting our clinical staff. This position requires a proactive and detail-oriented individual with excellent communication and multitasking skills. 20-24 hours per week.
Key Responsibilities
Administrative Management:
Oversee daily office operations to ensure efficiency and productivity.
Manage patient/clinician scheduling, including appointments, follow-ups, and cancellations.
Maintain and update patient records, ensuring confidentiality and accuracy.
Handle billing, insurance claims, and collections processes in coordination with our billing team.
Coordinate with vendors and suppliers for office supplies and equipment.
Prepare reports and documents as needed by the clinic director.
Facilitate patient education and communication regarding clinic policies and procedures.
Staff Support:
Assist clinical staff with administrative tasks as needed.
Coordinate staff schedules, meetings, and training sessions.
Support hiring, onboarding, and training of new employees.
Ensure compliance with clinic policies and procedures.
Facility Management:
Ensure the clinic is clean, organized, and well-maintained.
Oversee maintenance and repair of office equipment and facilities.
Qualifications
Education:
High school diploma or equivalent required; associate's or bachelor's degree in healthcare administration, business administration, or related field preferred.
Experience:
Minimum of 1 year of experience in an administrative or office management role, preferably in a healthcare setting.
Skills:
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Proficiency in office software (e.g., Microsoft Office Suite, electronic medical records systems).
Knowledge of billing and insurance procedures.
Ability to maintain confidentiality and handle sensitive information.
