    Part-time Operations Assistant

    Pay Rate $18.00-$24.00/ hour

We are seeking a dedicated and reliable Part-Time Operations Assistant to join our team. The Operations Assistant plays a vital role in ensuring the smooth and efficient running of our janitorial services. This position supports the Operations Manager, Supervisor and the broader team by coordinating daily office activities. This role requires attention to details, organization, and the ability to balance multiple tasks. The role will be remote with requirement for in-office work from time-to-time (hybrid).

    Responsibilities include:

    Assist with job postings, resume reviews, and candidate screening. maintaining an organized database of candidate information and recruitment activities.

    Scheduling phone and in person interviews, coordinating with candidates and hiring manager.

    Submit and review background checks and other pre-hire requirements.

    Assist in the onboarding process of new employees, including training schedules, paperwork, and uniform ordering and distribution. Help resolve minor employee concerns and escalate issues to the Operations Manager or Human Resources when necessary.

    Set up employees in timekeeping system.

    Maintain employee files for easy access.

    Create, edit, and send bids using proposal software.

    Reviewing RFPs for janitorial bids.

    Manage office tasks, including calendar scheduling, email correspondence, and document organization. creating forms, letters, and various communications as needed as well as taking notes and meeting minutes.

    Assist with marketing the business to new clients.

    Assist in preparing and editing documents, reports, and presentations, including KPI tracking and reporting.

    Assist with client walkthroughs as needed.

    Special projects and other duties as assigned.

    Must be willing to cold call for new potential business.

    Qualifications:

    High school diploma or equivalent.

    2+ years office assistant experience; in commercial cleaning industry preferred.

    Proven experience as an assistant or in a similar administrative role.

    Excellent written and verbal communication skills.

    Strong organizational and multitasking abilities.

    Familiarity with customer service practices and principles.

    Basic understanding of recruitment processes and procedures.

    Proficiency in using a variety of office software including Microsoft Office, Word, Excel, PowerPoint, ).

    AP/AP knowledge preferred but not required.

    Ability to work independently and efficiently in a remote environment.

    Discretion and ability to handle sensitive and confidential information is a must.

    Paralegal experience is a plus, bringing added value in managing complex tasks and supporting key operations.

    Requirements:

    1-2 years office assistant exp or similar administrative role

    Availability to work 15-25 hours per week.

    Availability to work from home office.

    Ability to be in company office when required.
