    Hamilton Raye is a fractional executive assistant agency that provides administrative support to other businesses. This is a REMOTE role, and we're looking for someone in the United States. At this time we are only hiring in the following states for this role: Ohio, Colorado, Florida, North Carolina, Missouri, Illinois, and New Jersey.     Job Summary: The People Operations Specialist at Hamilton Raye is essential to enhancing and managing our hiring processes, team onboarding, engagement, and day-to-day people operations. This role will work closely with various departments, including IT and mentorship programs, to ensure a smooth onboarding experience and foster a vibrant, connected culture. As a people-centered role, this position also emphasizes team engagement, learning initiatives, and special recognitions to celebrate individual contributions and milestones.

    Key Responsibilities:

    1. Recruitment & Hiring Process Management

    • Source, review resumes, and conduct phone interviews for potential candidates.
    • Develop and enhance a streamlined hiring process, including workflows, stages, templates, and email communications in our recruitment system.
    • Continuously optimize the hiring process to improve candidate experience and team efficiency.

    2. Onboarding Coordination

    • Schedule setup sessions with new hires (15-20 minutes) before onboarding to confirm access and complete initial setup.
    • Coordinate with IT for onboarding-related support and track completion of setup and required courses.
    • Manage onboarding communication by sharing announcements in Slack, adding new hires to the admin database, creating admin bios, and aligning with the mentor program.

    3. Team Engagement & Development

    • Organize buddy groups to foster connections within the team.
    • Lead training initiatives and coordinate team-building activities.
    • Build training tools and resources for team member development.
    • Plan and execute birthday, holiday, and team anniversary celebrations, ensuring special days are recognized across the team.

    4. Team Performance & Recognition

    • Develop a performance tracking plan to monitor and support team development.
    • Create, update, and manage team bios, and incorporate these onto the company website during onboarding.

    5. Benefits & Communication Support

    • Assist with benefit coordination and updates, maintaining a central information hub in Circle.
    • Send out reminders for paid holidays and other essential team updates.

    Preferred Experience:

    • Experience with benefits coordination and updating internal resources.
    • Familiarity with using platforms for communication and reminders, particularly for holiday schedules and paid leave notifications.
